Freelance Admin / Project Assistant

We're looking for an Admin / Project Assistant for a global logistics and postal services provider.
Key Responsibilities:
PO & Invoice Management: Oversee purchase orders and invoices, ensuring accuracy and timely processing.Coordination: Act as a key link between accounting and project teams, ensuring smooth communication and alignment.Reporting Support: Assist managers with transaction reporting and analysis of previous projects.Budget Tracking: Review purchase orders and monitor remaining budgets across projects.Process Support: Work with existing templates and best practices while maintaining accurate documentation in Excel.
Qualifications:
Previous experience in an administrative, finance support, or project support role.Strong Excel skills and confidence working with data.High attention to detail and strong organisational skills.Proactive mindset with the ability to manage multiple tasks.Good communication skills and ability to work with different stakeholders.

We are seeking a Facilities Maintenance Specialist to oversee the maintenance and operational efficiency of multiple company facilities. The ideal candidate will have a strong technical background and experience in facility management within logistics or industrial environments, with a focus on coordination, safety, and continuous improvement.
ResponsibilitiesOversee selected company facilities and manage Facility Management (FM) activities across assigned locationsPlan and coordinate maintenance activities to ensure continuous operation of buildings and technical equipmentSupervise external service providers (technical maintenance, cleaning, etc.) and support internal technical processesExecute technical improvements to enhance ergonomics, workplace safety, and operational efficiencyInitiate and implement solutions to improve facility performance, employee safety, and environmental sustainabilityEnsure compliance with safety standards, regulations, and internal policiesMonitor maintenance schedules, repairs, and refurbishment worksManage budgets, timelines, and quality standards for assigned tasks and projectsCoordinate activities across multiple sites and support operational continuity QualificationsTechnical education (degree preferred in engineering or a related field)Proven experience in a technical role within logistics, industrial, or similar environmentsStrong knowledge of building maintenance, technical systems, inspections, repairs, and renovationsExperience in coordinating external contractors and managing tasks within defined budgets and timelinesGood understanding of safety and compliance requirements in industrial environmentsCommunicative level of English (minimum B1)Strong organizational, problem-solving, and coordination skillsWillingness to travel between company locations

The role focuses on active prospecting of public and private clients, including:
Public transport operators, municipalities, and other public-sector organizationsFleet operators, leasing companies, and corporate transport providersYou will coordinate closely with a local agent/distributor representing our company, ensuring alignment on strategy, pipeline development, and sales execution, while reporting directly to the International Sales Manager.
Key Responsibilities:
Actively identify and develop new business opportunities in the public and private sectorsManage the full sales cycle: prospecting, negotiation and contract closureIdentify customer needs with the aim of promoting the range of products produced by the companyExperience with public bids, rules and laws of procurement tenders, processes and analysis (ability to evaluate tender documents in detail and filter those which the company can participate in)Strong technical and product knowledge to explain in detail to potential customersCoordinate and support activities of the local agent/distributorDefine and execute regional commercial strategy in alignment with HQMonitor market trends, competitors, and regulatory requirementsPrepare structured reports, sales forecasts, and pipeline updatesEnsure high standards of after-sales support through the local distributor/agent networkConduct regular visits to key customers and fleet operatorsSupport local marketing events, exhibitions and product demonstrationsCollect market and product feedback and report insights to HQ to support product improvementsRequirements:
